PRIVACY POLICY for the MindTech Waiter mobile app
1. General Provisions
This Privacy Policy defines the procedure for processing and protecting the personal data of users of the MindTech Waiter mobile application (hereinafter referred to as the "Application").

2. What data do we process?
2.1. Account details
- email address
- username
- user position (staff, administrator, director)
- internal user ID
2.2. Organization data
- name of establishment
- address of the establishment
- structure of halls and tables
- technical service parameters

- incoming call events
- call acceptance and closing status
- official actions within the system
2.4. Technical data
- IP address
- application version
- device model
- operating system version
- technical logs of the service
3. Using geolocation, Bluetooth, and iBeacon technologies
The application uses Bluetooth Low Energy (BLE) technologies, device location services and the iBeacon protocol to provide automated service within catering establishments.
3.1. Purpose of use
The specified technologies are used exclusively for:
- determining the location of an employee in the service area of a specific table;
- correct routing of calls to staff;
- automatic detection of the closest employee to the iBeacon tag;
- optimization of task distribution;
- ensuring continuous operation of the call system.
3.2. Nature of use of geolocation
Geolocation data:
- are used only within the physical premises of the establishment;
- are used exclusively to determine the presence of a device within the coverage area of a specific iBeacon tag;
- aren't used for route planning;
- aren't used to determine precise GPS coordinates for tracking purposes;
- aren't used for marketing or advertising.
The application does not perform global monitoring of the user's movements.
3.3. Background usage
For the correct operation of the calling system, the Application may use:
- Background Location;
- Background Bluetooth (bluetooth-central / bluetooth-peripheral).
Background use is for the sole purpose of:
- providing automatic response to calls;
- correct determination of the employee’s location in the service area;
- Prevent events from being lost when the application is minimized.
The app does not perform background tracking outside of the work context and does not use location data for other purposes.
3.4. Storage and transmission of location data
Location data:
- aren't saved as a history of movements;
- not transferred to third parties;
- aren't used to create behavioral profiles;
- aren't used for analytics outside the functionality of the Application.
Location determination is used solely as a technical trigger within the calling system.
4. Using a microphone, voice recording, and artificial intelligence technologies
The application provides employees with the ability to record a voice message to automate order processing.
4.1. Microphone access
Microphone access:
- is carried out solely on the initiative of the user;
- activated only after explicitly pressing the record button;
- accompanied by a visual notification of the start of recording;
- is not carried out automatically;
- is not used in the background without user intervention.
4.2. Processing an audio file
Audio file:
- used exclusively for converting speech to text;
- transmitted to the Operator's server for transcription;
- is not saved on the device after sending;
- not stored on the server after processing is completed;
- automatically deleted after receiving the text transcription.
4.3. Use of artificial intelligence
The transcribed text can be processed by artificial intelligence algorithms to:
- menu item recognition;
- order structuring;
- formation of a draft order;
- optimization of the service process.
AI is used solely as an auxiliary automation tool.
The final confirmation of the order is carried out manually by the user.
4.4. No hidden audio surveillance
Application:
- doesn't carry out covert recording of conversations;
- doesn't conduct continuous audio surveillance;
- doesn't analyze the user's voice characteristics;
- doesn't use biometric identification;
- doesn't use audio data to train models without the user's consent.
Only the text transcript required for order formation is stored.
5. Using push notifications
The app uses Apple Push Notification Service (APNs) to:
- incoming call notifications;
- information about the call processing status.
Push notifications are not used for advertising or marketing purposes.
6. What data we don't collect
The application does not collect:
- bank card details;
- payment information;
- advertising identifiers;
- data for targeted advertising;
- device contact data;
- user's movement history.
The app does not use any third-party advertising or analytics SDKs.
7. Purposes of data processing
Personal data is processed solely for:
- providing access to the Application;
- functioning of the call system;
- account administration;
- technical support;
- ensuring service security.
8. Data storage and protection
All data:
- stored on the Operator’s servers;
- transmitted via a secure protocol (HTTPS);
- protected by authentication and authorization means;
- are not transferred to third parties without legal grounds.
Only authorized employees of the Operator have access to the data.
9. Transfer of data to third parties
The operator does not transfer personal data to third parties, except in the following cases:
- provided for by the legislation of the Republic of Kazakhstan;
- compliance with the requirements of government agencies;
- protection of the Operator's legitimate interests.
10. Data storage period
Data is stored:
- during the account validity period;
- or until the account is deleted at the user’s request;
- or within the timeframes established by current legislation.
11. User rights
The user has the right:
- receive information about your data;
- demand their correction;
- demand deletion of data;
- revoke consent to data processing.
